How to Book a Drone for Your Wedding or Event in Nepal — The Complete Guide

Your wedding photographer will capture every moment on the ground. Your drone operator will capture the moment that shows you where you were — the venue, the mountains, the crowd below, the exact geography of the most important day of your life.

And yet most couples in Nepal either don't book a drone at all (because they're not sure how), or book one too late, or book the wrong type of operator and end up with footage they can't use. This guide exists to solve all three problems.

Why Drone Footage at a Wedding or Event Is Worth It

The standard wedding photo package gives you faces, details, and the ground-level story. What it can't give you is context — the scale of the venue, the crowd from above, the landscape that surrounds your moment.

That aerial establishing shot — venue seen from 80 metres, mountains in the background, guests arranged below — is the one frame from a wedding that gets shared most widely, printed largest, and remembered longest. And it takes approximately four minutes to capture if a skilled operator is on site.

For corporate events, product launches, concerts, and cultural festivals, aerial coverage adds a broadcast-quality production dimension that smartphone and DSLR footage simply cannot match.

How Far in Advance Should You Book?

For peak season (October–November and February–March): Book at least 4–6 weeks in advance. These are Nepal's best weather windows and the most popular wedding months. Drone operators with real experience — not someone who just bought a DJI last month — are fully booked during these periods.

For monsoon events (June–September): Weather is unpredictable. Book with a cancellation/rescheduling policy in place. Good operators will have a rain plan — either a covered indoor alternative or a flexible reschedule clause. Confirm this before signing anything.

For December–January: Clear weather is reliable, but cold temperatures affect battery performance. An experienced operator will carry extra batteries and manage this. Budget 20–30% more flight time to account for reduced battery endurance.

General rule: If your event date is fixed, book as soon as you know you want drone coverage. Flexibility goes away fast.

What Permits Does a Wedding Drone Need in Nepal?

This depends on the location.

Outdoor venues, private land, rural areas: Generally no additional CAAN permit is required for a single drone below 25kg flown by a registered operator. Your operator should have a valid CAAN Remote Pilot Certificate and drone registration. Ask for copies before the event.

Near urban areas, within 5km of TIA, near government facilities: A CAAN operational permit is required. This takes 10–20 working days to process. This is why booking early matters — your operator needs time to file if permits are required.

Luxury hotels with helipads or restricted airspace: Check with the venue management. Some hotels have blanket airspace restrictions that require hotel approval in addition to CAAN permits.

Temple complexes, palace grounds, heritage zones: These almost always require special authorisation. If your venue is in or adjacent to a heritage zone (Pashupatinath, Boudhanath, Bhaktapur Durbar Square vicinity), allow 3–4 weeks for permit processing and confirm availability early.

Practical tip: Give your operator the venue address and ask them directly what permits they'll need for that location. A good operator will tell you immediately. If they seem unsure, that's a red flag.

What Shots Should You Ask For?

Tell your operator what moments matter, not what shots to fly. They'll translate the moments into the right flight plan.

But here are the shots most couples wish they'd asked for explicitly:

The arrival reveal: Drone positioned above the entrance, capturing the first moment you see each other — or the moment you arrive at the venue — from above.

The venue establishing wide: High altitude, slow pullback. This is the "this is where we were" shot. Non-negotiable.

The ceremony overhead: Directly above, looking down at the mandap, the exchange, the fire, the circle. This shot is emotionally devastating in the best possible way when it's done well.

The crowd from above: During the reception, when everyone is seated. Shows the scale of the event. Great for invitations the following year.

The golden hour flight: If your venue allows it, one flight at sunset. The Kathmandu valley light between 5pm and 5:30pm in autumn is unlike anything else. Ten minutes of flight time in that window produces the reel highlight.

What to Check Before You Book Any Drone Operator

1. CAAN registration and Remote Pilot Certificate. Not optional. Ask for the registration number. 2. Real portfolio. Watch actual event footage, not just landscape reels. Event flying requires different skills. 3. Liability. What happens if the drone malfunctions and causes damage? Is the operator insured? 4. Permit handling. Does the operator understand what permits your venue requires? Will they handle the filing? 5. Weather policy. What happens if it rains? What's the rescheduling policy?
